You are setup on INSYS Standard as a Anglican or Pentecostal Church. Find below how to get started.
We assume you are set-up on INSYS Standard. To confirm, go to System Administration, System Customizer and under INSYS System Plan, ensure INSYS Standard is highlighted. If you will need more features, you can switch between the available plans. In case a plan is not available, then you need to upgrade. To upgrade, click on Upgrade button on the page, or go to Billing & Subscriptions and click on + icon.
Ensure you are set-up as a Church: Under System Customizer, INSYS Modes & Theme, select Church and ensure Operational Mode is set as Protestant-Mode. Specialty Mode set as Anglican or Pentecostal Church. Deployment Mode on Standalone.
Ensure you have updated the System Profile. Go to System Administration, System Profile, click > on the selected profile and change the information according, then submit.
Ensure you have set-up the system. Go to System Administration, System Setup, select each of the following; Years, Paymodes, Contribution(Type), Sacrament(Type), Activity(Type), Allowance(Type), Project(Type), Role, Tags, Expense(Type), Departments. Once you select, you will find a list of its items and description. To add item, click on + icon and enter the title and details and submit. To edit item, click on the item, change information and then Submit.
Ensure your subscription is up-to-date: To confirm, go to System Administration, Billing & Subscriptions and ensure your next billing date is a future date and the status is active.
Ensure you have enough data space: To confirm, go to System Administration, Space Manager and confirm your used space is below 100%. To add more space, click on + icon on the page, select the space to buy and checkout. Space will be added.
Change your theme. Go to System Administration, System Customizer and under INSYS Modes & Theme, switch theme between Light and Dark. You can also change your header and footer background and text colors to your corporate colors, then Update.
Ensure you have listed all your members, leaders, mentees information. To add member Information, click Members Information button, then + icon, fill in the Members information on the New Members form and click submit. Do the same for leaders and mentees.
Ensure you have listed all your Cells information. To add Cell Information, click Cells Information button, then + icon, fill in the Cell information on the New Cell form then click Add.
Ensure you have listed all your Ministries information. To add Ministry Information, click Ministries Information button, then + icon, fill in the Ministry information on the New Ministry form then click Add.
Ensure you have listed all your Committees information. To add Committee Information, click Committee Information button, then + icon, fill in the Committee information on the New Committee form then click Add.
Ensure you have listed all your projects information. To add Project Information, click Project Information button, then + icon, then fill in the project information on the New Project form and click submit.
Ensure you have listed all your staff information. To add Staff Information, click Staff Information button, then + icon, fill in the staff information on the New Staff form and click submit.
Ensure you have listed all your suppliers information. To add Supplier Information, click Supplier Information button, then + icon, fill in the supplier information on the New Supplier form and click submit.
Add a Contribution: Click Contribution Payments then + icon, select member and amount contributed and click + button to add. Repeat for all the members. Then choose what the contribution is for, fill the date, pay type and pay mode and submit. Multiple contributions will be recorded. You can also add a contribution via Select Quick Tasks.
Add a Pledge: Click Contribution Pledges then + icon, select member and amount contributed and click + button to add. Repeat for all the members. Then choose what the contribution is for, fill the date and pay type and submit. Multiple pledges will be recorded. You can also add a pledge via Select Quick Tasks.
Add Sacrament: Click Sacraments/Ordinances then + icon, fill in the information then click submit. The sacrament will be recorded. You can also add a sacrament or ordinance via Select Quick Tasks.
Apply Staff Leave. To apply or record Staff Leave, click Staff Leaves button, then + icon, fill in the information on the Apply Staff Leave form and click submit. You can also apply or record a leave via Select Quick Tasks.
Create Payslip: Go to Payroll Management, then + icon, on the next page, select the staff to create the payslip for, review the payroll information and if correct, click Create Now. The payslip for that particular staff will be generated. If, on review, the information is not correct, click Staff Bio, edit icon, and update the information. Then Click Payslips, add icon, review the changed information and click Create Now. You can also create a payslip via Select Quick Tasks.
Record Expense. To record an Expense, click Expenses button, then + icon, fill in the information on the New Expense form and click submit. You can also record an expense via Select Quick Tasks.
Add a Purchase Order(LPO): Click Purchase Orders(LPO) then + icon, select product and quantity and click + button to add. Repeat for all the products to order. Then choose what the supplier is for, fill the details and submit. The purchase order will be recorded. You can also add a Purchase Order(LPO) via Select Quick Tasks.
Record a Purchase Return: Once you return goods to suppliers, click Purchase Returns, then + icon, on the next page, select the order whose product has been returned, then on return form, select the product returned, fill the quantity, return date and any comment, then Submit. Your order return will be recorded. You can also record a purchase return via Select Quick Tasks.
OPERATIONS DATA MANAGEMENT
Manage Contributions: Click Contributions Payments button and you will find all the recent contributions done by members. To edit contribution, click on edit button beside the contribution, edit the details on the form then click update. To delete a contribution, click edit icon. On the edit contribution form, click delete icon on top right and confirm deletion.
Manage Pledges: Click Contributions Pledges button and you will find all the recent pledges done by members. To edit pledge, click on edit button beside the pledge, edit the details on the form then click update. To delete a pledge, click edit icon. On the edit pledge form, click delete icon on top right and confirm deletion.
Manage Sacraments: Click Sacraments/Ordinances button and you will find all the recent Sacraments and Ordinances. To edit Sacrament, click on > button beside the sacrament, then the edit button, edit the details on the form then click update. To delete a sacrament, open it, click edit icon. On the edit sacrament form, click delete icon on top right and confirm deletion.
Manage Cells. To edit Cell data, click Cells Information, then edit button beside the selected Cell, to open edit Cell form. Edit the information on the form, then Update. To delete a Cell, open Cell page, click edit icon. On the edit Cell form, click delete icon on top right and confirm deletion.
Manage Ministries. To edit Ministry data, click Ministries Information, then edit button beside the selected Ministry, to open edit Ministry form. Edit the information on the form, then Update. To delete a , open Ministry page, click edit icon. On the edit Ministry form, click delete icon on top right and confirm deletion.
Manage Committee. To edit Committee data, click Committee Information, then edit button beside the selected committee , to open edit Committee form. Edit the information on the form, then Update. To delete a Committee, open Committee page, click edit icon. On the edit Committee form, click delete icon on top right and confirm deletion.
Manage Member, Leader, Mentee Data: Click on the search icon on the top right of the system, select the member to view and it will take you to the member profile. Or click on Members Information, click on > button beside the member to view and you will land on member profile. On member profile, you will access member Biodata. To edit Bio Data, click on the edit icon, update information of the form and click update. You cannot delete a member, you can only change status from Active to Archived. Do the same for Leader and Mentee.
Manage Programs. To edit program information, click Programs Information, then edit button beside the selected program, to open edit program form. Edit the information on the form, then Update. To delete a Program, open program page, click edit icon. On the edit program form, click delete icon on top right and confirm deletion.
Manage Projects. To edit project information, click Project Information, then edit button beside the selected project, to open edit project form. Edit the information on the form, then Update. To delete a project, open project page, click edit icon. On the edit project form, click delete icon on top right and confirm deletion.
Contact Center: At contact center, you can resolve pending Complaints, answer unresponded inquiries, act on pending notes and tasks, and contact/engage clients, suppliers or donors. To mark a complaint resolved, click on Unresolved Complaints, identify the complaint and click X button beside it, confirm. To mark a note acted on, click on Unacted Notes, identify the note and click A button beside it, confirm. To answer an inquiry, go to Unanswered Inquiries, open the inquiry and click on reply icon, compose the message and send.
MARKETING DATA MANAGEMENT
Manage Member Leads: To add member Lead, click Member Leads button, then + icon, fill in the lead information on the New Prospect form and click submit. To edit lead data, click Member Leads, then > button beside the selected lead/prospect, to open prospect bio, click Edit icon and edit the information on the Edit Profile form, then Update. You cannot delete a lead, you can only change status from Active to Archived.
Manage Email Outreach: You can view and manage Email Outreach Campaigns under Outreach Activities. To create an email Outreach campaign, click + icon, fill in the New Campaign form and Submit. To edit campaign, open the campaign, click edit icon, change data and click update. To delete Campaign, open campaign, click edit icon then delete icon, confirm deletion. To share an Email Outreach Campaign, open the campaign, click Email button, select the audience then click Share.
Manage SMS Outreach: You can view and manage SMS Outreach Campaigns under Outreach Activities. To create an SMS Outreach campaign, click + icon, fill in the New Campaign form and Submit. To edit campaign, open the campaign, click edit icon, change data and click update. To delete Campaign, open campaign, click edit icon then delete icon, confirm deletion. To share an SMS Outreach Campaign, open the campaign, click SMS button, select the audience then click Share.
Manage Web Outreach: You can view and manage Web Outreach Campaigns under Outreach Activities. To create a Web marketing campaign, click + icon, fill data, including the web page to share, in the New Campaign form and Submit. To edit campaign, open the campaign, click edit icon, change data and click update. To delete Campaign, open campaign, click edit icon then delete icon, confirm deletion. You can share the campaign through Email, SMS, FB or X. To share a Web Marketing Campaign, open the campaign, click Email or SMS button (depending on the medium you want to use), select the audience then click Share. To share via FB or X, click on the button and you will be redirected to the social media networks to complete the process.
Manage Content Outreach: You can view and manage Content Outreach Campaigns under Outreach Activities. To create a content Outreach campaign, click + icon, fill in data, including the content post to share, in the New Campaign form and Submit. To edit campaign, open the campaign, click edit icon, change data and click update. To delete Campaign, open campaign, click edit icon then delete icon, confirm deletion. You can share the campaign through Email, SMS, FB or X. To share a Content Outreach Campaign, open the campaign, click Email or SMS button (depending on the medium you want to use), select the audience then click Share. To share via FB or X, click on the button and you will be redirected to the social media networks to complete the process.
HUMAN RESOURCE DATA MANAGEMENT
Manage Staff Data: Click on the search icon on the top right of the system, select the staff to view and it will take you to the staff profile. Or click on Staff Information, click on > button beside the staff to view and you will land on staff profile. On staff profile, you will access Staff Biodata, Leaves. To edit Bio Data, click on the edit icon, update information of the form and click update. You cannot delete a staff, you can only change status from Active to Archived.
Manage Staff Leaves. To view Staff Leaves, click Staff Leaves button. To edit leave data, click Staff Leaves, then > button beside the selected leave, then click Edit icon and edit the information on the Edit Leave form, then Update. To delete a Leave, go to Staff Leaves, click > button beside the leave to edit, click edit icon. On the edit leave form, click delete icon on top right and confirm deletion.
Payroll Management: You can view and manage all the recent payslips at Payroll Management under HR. To create a payslip, go to Payroll Management and click + icon, select the staff to create payslip for, preview the salary details and if they are ok, click Create Now. To edit a Payslip, open the payslip and click edit icon, change the data and then click Update. To delete payslip, open the payslip, click edit icon then delete icon, confirm deletion. To pay salary, click Payroll Management then click the pay icon, fill in the data on the new Expense form. Ensure to choose department as Procurement, category as Recurrent, expense type as Salary-Payment, expended for you choose the staff to pay and the rest of the details then click submit.
Allowance Management: You can view and manage all the recent allowances at Allowances Management under HR. To record an allowance, go to Allowances Management and click + icon, select the staff to record the allowance for, fill in the data at New Allowance form and click Submit. To edit an Allowance, open the allowance and click edit icon, change the data and then click Update. To delete allowance, open the allowance, click edit icon then delete icon, confirm deletion.
PROCUREMENT DATA MANAGEMENT
Manage Supply Products. To edit product information, click Supply Products, then edit button beside the selected product, to open edit product form. Edit the information on the form, then Update. To delete a Product, go to Supply Products, click > button beside the product to edit, click edit icon. On the edit product form, click delete icon on top right and confirm deletion.
Manage Purchase Orders: Click Purchase Orders(LPO) button and you will find all recent orders with pending orders highlighted in red. To edit an order, go to Purchase Orders(LPO), click > button beside the order to edit, click edit icon, then click the edit icon besides the order item you want to edit, on the order edit form, edit the information accordingly and click update. To delete an order, go to Orders, click > button beside the order to edit, click edit icon, then click the edit icon besides the order item you want to edit, on the order edit form, click delete icon on top right and confirm deletion.
Manage Purchase Returns: Click Purchase Returns button and you will find all recent purchase orders returned to supplier. You can view a return by clicking > button beside it. To edit a return, open a return, click edit icon, then click the edit icon besides the returned item you want to edit, on the return edit form, edit the information accordingly and click update. To delete a return, open a return, click edit icon, then click the edit icon besides the return item you want to edit, on the return edit form, click delete icon on top right and confirm deletion.
Manage Promissory Notes: You can view and manage all the recent promissory notes at Promissory Notes under Procurement. To create a note, go to Promissory Notes and click + icon, select the supplier to create the note for, fill in the data at New Promissory Note form and click Submit. You cannot edit a promissory note. To delete a note, open the promissory note, then click delete icon, confirm deletion.
Manage Store Activities: You can view and manage all the recent store activities at Store Activities under Procurement. To add an activity, go to Store Activities and click + icon, fill in the data at New Activity form and click Submit. To edit an Activity, open the activity and click edit icon, change the data and then click Update. To delete an activity, open the store activity, then click delete icon, confirm deletion.
Stock & Inventory: You can view the stock and inventory levels at Stock & Inventory under Procurement. You can also initiate stock in and out movements by clicking + icons accordingly.
FINANCIAL DATA MANAGEMENT
Manage Expenses. To view Expenses, click Expenses button, then + icon. To edit expense data, click Expenses, then > button beside the selected expense, then click Edit icon and edit the information on the Edit Expense form, then Update. To delete an Expense, go to Expenses, click > button beside the expense to edit, click edit icon. On the edit expense form, click delete icon on top right and confirm deletion.
Asset Management: You can view and manage all the assets at Assets Management under Finance. To record an asset, go to Assets Management and click + icon, fill in the data at New Asset form and click Submit. To edit an Asset, open the asset and click edit icon, change the data and then click Update. To delete asset, open the asset, click edit icon then delete icon, confirm deletion.
Loan Management: You can view and manage all the loans at Loans Management under Finance. To record a loan, go to Loans Management and click + icon, fill in the data at New Loan form and click Submit. To edit a Loan, open the loan and click edit icon, change the data and then click Update. To delete loan, open the loan, click edit icon then delete icon, confirm deletion.
MEDIA & COMMUNICATION DATA MANAGEMENT
Bulk/Mass Messaging: You can view all the email or SMS messages sent to Clients, Staff, Suppliers and Donors at Bulk/Mass Messaging under Media & Communication. To send bulk Email or SMS message, go to Bulk/Mass Messaging, then Client Emails or SMS Communication or staff, supplier or Donor, click + icon, select the audience, compose the message and Send. You can also save pre-written message as message templates for future reuse. To add a template, go to Bulk/Mass Messaging, click Client Message Templates, then +icon, fill the details and save.
Manage Media: Click Media Management button and you will find all the documents, photos, videos, posts and links listed. To add a media, click on the media category then + icon, fill in the details and upload or insert the media then submit. To edit media, click on the media category and beside the selected media click > button. On the next page, click the edit icon and edit the information according, lastly update. To delete media, click on the media category and beside the selected media click > button, then, click the edit icon and delete icon, confirm deletion.
